What You'll Be Doing as a Finance Assistant

As a Finance Assistant at Griffiths Waite, you will be reporting the Head of Finance to ensure the effective and accurate administration of accounts, HR admin, and Project admin. This pivotal role is integral to the success of our company processes and the timely delivery of financial reports.

You will help ensure the office runs efficiently and that suppliers and sales invoices are paid promptly. The role requires you to manage a variety of tasks, demonstrating a clear commitment to learning and growing in your understanding of finance and payroll, and sharing your knowledge as you develop in the position.

Core Responsibilities

  • Processing purchase invoices and posting to correct nominal codes and departments using Xero.
  • Processing expenses in Xero, ensuring completion of nominal and department codes.
  • Preparing supplier and expense payment runs.
  • Maintaining and reconciling credit card expenditure; ensuring all receipts are received and transactions accurately posted into Xero.
  • Weekly bank reconciliation.
  • Raising sales invoices in our project system and sending them to customers.
  • Maintaining the debtor's ledger and chasing any overdue payments.
  • Maintaining the creditors ledger and resolving any queries.
  • Keeping employee records up to date in the HR system. Validating completeness of new starter information, recording sickness & absence.
  • Preparing documentation for employees eligible for healthcare and company pension scheme.
  • Assisting in monthly accounts preparation ensuring deadlines are met.
  • Maintaining the day-to-day data in Projectworks (Time, Project & Resourcing system). To include new starters, leavers, time entries & individual settings. Thus, ensuring all weekly reporting information is accurate.
  • Helping with booking flights and hotels for customer visits, stationery ordering and booking business lunches when required.

Skills Required

  • Proficiency with Xero is an advantage, but experience with other accounting systems such as Sage is also welcome.
  • Strong working knowledge of Excel.
  • Clear and effective communication skills.
  • Excellent teamwork abilities.
  • Ability to meet tight deadlines.
  • Willingness to take ownership of your work and see tasks through to completion.
  • Strong attention to detail and organisational skills, with the ability to multitask.
  • Experience working with a variety of systems and an interest in improving and integrating processes where possible.
